Email Log

Scope: The Email Log screen: the always-applied module and document-type dropdowns, what the columns and status tabs show, what the search box does and does not match, how the date range follows the sort field, the CSV export, and what to do when an email is not in the log.
Every time JomeInvoice emails one of your buyers or suppliers about an invoice, it records that email here. Use the Email Log when a customer says an invoice never arrived, when you need to confirm which address a document went to, or when you want a record of what was sent during a period.
To open it, select Email Log in the left navigation.
Read the two dropdowns first
This is the thing that catches people out, so it is worth knowing before anything else.
Next to the search box there are two dropdowns, and both are always applied:

Neither has an "all" option. So the page never shows Sales and Self-Billed together, and never shows more than one document type at a time.
When you open the page you are looking at sales invoice emails only. An email about a self-billed credit note is not missing, it is behind two dropdown changes. Set both dropdowns to match the document you are looking for before you conclude an email was never sent.
What each column shows

Dates are shown as day/month/year and a 24-hour time.
There is one row per recipient. If an invoice email went to a main address and two people in copy, that is three rows, all with the same invoice number and subject. They update together, so if one shows Delivered they generally all will.
Searching
The search box matches three things:
- the invoice number
- the recipient email address
- the email subject
Any part of the value works, and capitalisation does not matter. Typing part of an address finds every email sent to it.
Search does not match the customer name, even though Customer is one of the columns. Searching a company name usually returns nothing. It occasionally appears to work, because some email subjects contain your own company name, which makes the behaviour look unreliable rather than simply absent.
To find everything sent to one customer, search their email address, or search the invoice number if you are chasing one specific document.
Search runs on top of the two dropdowns, so it only ever looks inside the module and document type you have selected.
The status tabs
Above the table there are four tabs with counts: All, Delivered, Failed and Pending. The counts reflect whatever filters, dates and search you currently have set, and the three status tabs always add up to All.
A row whose status reads Sent is counted under the Pending tab. The two words describe the same thing: JomeInvoice has handed the email over, and the receiving mail server has not reported back yet. If you are looking for emails that have not been confirmed either way, the Pending tab is the one to use, even though the rows inside it say Sent.

Sorting and the date range
Sort by offers Created At, Sent At, Delivered At and Issue Date, with a separate control for newest or oldest first. The date range next to the dropdowns starts at the past three months.
The date range applies to whichever column you chose in Sort by. Changing Sort by changes what the date range is filtering on.
This matters most when you sort by Delivered At: an email that was never delivered has nothing in that column, so it drops out of the results entirely. Sorting by Delivered At to investigate undelivered mail is the one thing that hides it. Leave Sort by on Created At while you are searching, because every row has a Created At.
Download CSV
Download CSV exports every row matching your current filters, search and tab, not just the page you can see. Use it for month-end records or to send a delivery history to a colleague.
Two differences from the table are worth knowing before you open the file:
- The CSV does not include the failure reason. It will tell you which emails failed, but not why. Check the failed rows on screen before exporting, and contact support if you need the reason for an email you cannot see one for.
- The CSV lists Delivered At before Sent At, the opposite order to the table.
If an email is not in the log
Work through these in order.
- Match both dropdowns to the document. Right module, right document type. This is by far the most common reason a row appears to be missing.
- Widen the date range, and set Sort by to Created At while you do.
- Search the invoice number rather than the customer name.
- Search the recipient's address as well. Someone who was copied in has their own row, and it may be the only one you can find if you have the wrong document type selected.
- Check email sending is switched on for that document type in Settings > Workspace Settings > General, under Email Notification. If it is off, no email was sent and there is nothing to find. See Customising the emails JomeInvoice sends.
- Contact support if you still cannot find it. Have the invoice number, the recipient address, and roughly when the email should have gone out.
Current limitations
- The log covers emails about invoices. Emails that are not tied to a specific invoice, such as the notification telling you an export file is ready, are not shown here.
- Search does not cover the customer name, as described above.
- You cannot view more than one module or document type at once, so a full picture of one customer's emails takes several passes.
- The kind of email is not shown as its own column. The subject line is what distinguishes an invoice notification from a cancellation notice.
- A missing row is not proof that no email was sent. If a customer confirms they received something that is not in the log, treat the log as incomplete for that case and tell support.
Who can see it
Access follows the Email Logs permission on a role, which is either no access or view access. Anyone who can open the page can also use Download CSV. See User roles and permissions to check or change who has it.
